How scheduled group departures work across the industry

In the travel trade, a scheduled departure is a tour that exists before anyone has bought it. The operator chooses a route, contracts the hotels and the boat, sets a date, then sells places one booking at a time. A private trip runs the other way round: you supply the dates and the people, and the route is drawn to fit them.

Because the itinerary is the fixed point, one guide, one vehicle and one block of cabins can be split among strangers. That single choice explains both sides of the format:

• The upside: a firm date, a route that has been run many times, and company without arranging it.
• The trade-off: the order of the days is locked, extra stops are rare, and your vacation has to match someone else's date.

Guaranteed dates, on-request dates and group size

Most published calendars mix two kinds of dates. A guaranteed date runs however many people have signed up, because the operator has already committed the guide and the transport. An on-request date only becomes firm once enough travelers join; if it never fills, the usual fallback is a nearby date or a private version of the trip at a different cost.

Group size reshapes the trip more than any brochure admits. Small-group operators tend to stay between a dozen and sixteen people, standard departures often reach the low twenties, and coach tours can pass forty. In a narrow tomb in the Valley of the Kings a large group becomes a queue; with fewer people, the visit turns back into a conversation. With any company, ask two things before the cost: is this date firm today, and how large can the group get?

Why the calendar is built backwards from the boat

Here is what most brochures skip. On nearly every Egypt itinerary the Nile sailing is the one element that cannot move, because each boat leaves Luxor or Aswan on its own weekday. A group circuit is planned from that day backwards: the Cairo nights, the domestic flights inside Egypt, the arrival. The same logic helps on a private trip. Choose the boat's day first and shape every land day freely around it. That is how we use the river.

What Explora Egipto publishes on fixed dates

We are a local agency in Egypt, and almost everything we arrange is private. We start from your dates and your party, then build the trip with our own English-speaking Egyptologists, private vehicles with drivers, hotels, domestic flights, entrance tickets and excursions. We do not publish land circuits with a departure calendar. The departures we publish on fixed dates are on the river.

Our three dahabiyas

The Iris, the Akhenaton and the Per-ba are traditional Nile boats, smaller and more unhurried than a motor ship, each carrying only a few guests in an intimate atmosphere. Their weekly rhythm:

• Every Friday from Aswan: 3 nights downstream, stepping off in Luxor on Monday.
• Every Monday from Luxor: 4 nights upstream to Aswan, arriving Friday, or 7 nights for a full week on the water.

The season runs from October 1 to December 21, 2026, and from January 1 to May 31, 2027, with four holiday departures: Monday, December 21, 2026 for Christmas; Monday, December 28, 2026 for New Year; and Friday, March 26 and Monday, March 29, 2027 for Easter week. The Nile cruise ships

For a bigger boat, we book cabins on motor cruise ships running between Luxor and Aswan on fixed days of the week, in 3-night and 4-night formats. You share the ship with far more passengers, and at each temple you go ashore with your own guide. A 5-day cruise added to your trip starts from US$755 per person in a double, low season; we confirm the sailing days in your quote.

Yes, a dahabiya can keep a fixed calendar

You may read that a dahabiya drifts on its own timetable, cannot hold a fixed calendar and only suits private trips. That is not true of ours. The Iris, the Akhenaton and the Per-ba leave on the same weekdays all season, and that regularity is what lets you anchor a trip to them. Friday from Aswan or Monday from Luxor?

How many days you have

With about a week, the 3-night Friday sailing leaves room for Cairo and Abu Simbel. With ten days or more, the 4-night Monday trip gives you more river, and the 7-night option suits travelers for whom the Nile is the whole point.

Where you want to start and finish

The Friday boat starts in Aswan, so Abu Simbel comes before boarding and you finish in Luxor. The 4-night Monday trip runs the opposite way and ends in Aswan, the natural base for Abu Simbel. A Monday sailing fits neatly after a weekend in Cairo; a Friday one suits a midweek start.

Holiday dates go first

Christmas, New Year and Easter week pack many vacations into a few days, and with only a few guests per boat, those departures fill before the rest of the season. Write as soon as your dates are settled, and keep the week before or after as a backup.

On board you share; on land, it is all yours

• Shared: the boat, the sailing day, the direction of travel, the meals and the deck.
• Private: your cabin or cabins, and everything before and after the boat: guide, vehicle, hotels, transfers, domestic flights and Abu Simbel.

Around the Friday dahabiya

Begin in Cairo with Giza and the city, fly to Aswan, and see Abu Simbel before boarding, from US$120 by road or US$239 by air. You step off in Luxor on Monday and either stay for the west bank and Karnak, with a Luxor day trip from US$288, or fly back to Cairo.

Around the Monday dahabiya or a cruise ship

Spend the weekend in Cairo, fly to Luxor and board. On the 4-night route you reach Aswan on Friday, with Abu Simbel the next day. For a cruise ship we confirm its sailing day first, then place the Cairo days and domestic flights around it.

On land your party sets the pace: longer in a temple or a reshuffled day is possible, because the guide and vehicle are yours. Since those costs are shared by everyone in your party, the price per person usually falls as the group grows. The exact figure is in your quote.

Group circuit, dahabiya, cruise ship or fully private

Prices are per person in a double, low season. Our proposal spells out every line inside Egypt: your English-speaking Egyptologist, a private vehicle with driver and all transfers, hotels fitted to the boat's schedule, your dahabiya or cruise cabin, domestic flights when the route uses them, entrance tickets and excursions. You book your own flight to Cairo and arrange your visa. Your flight and your visa

You book your own flight to Cairo. What you arrange with us starts once you are in Egypt.

US citizens can apply for the e-Visa online: 30 USD for a single entry, usually issued within 1 to 3 working days. The alternative is the visa on arrival at Cairo airport, paid as 30 USD in cash, or 36 USD by card for the digital version in place since August 1, 2026. 1. Message us on WhatsApp or through the form with the boat or day you want, how many of you are traveling and how many cabins you need.
2. We check that sailing and send a PDF proposal in US dollars, with the land days already built around it.
3. If it works for you, a deposit holds your place and the balance is paid later.
