How to book an Egypt tour, step by step, from the first message to the guide waiting at the airport

Step one: settle your dates and how many nights you have

Everything in the booking hangs on two numbers, the day you land in Cairo and the day you leave. Fix those before you write to anyone, because in winter they decide which boat you can get and in summer they decide which hours you can be at the temples.

Length is the second decision. Seven nights is the honest minimum for Cairo and a Nile cruise done without running. Ten nights adds Abu Simbel and a slower Aswan. Nile cruise boats sail on fixed days of the week in each direction, so the day you arrive decides which boat you can join. If your dates have a day of give on either side, say so in the first message; it often turns a compromise itinerary into the one you wanted.

Step two: pick the shape of the trip

An Egypt tour takes only a handful of shapes, and naming one before you ask for the quote makes the quote real instead of a menu.

Step three: ask for the quote, and what to put in the message

A request with the right facts gets a real answer in a day or two. A vague one gets a form reply and a follow-up question. Put these in the first message.

• Arrival and departure dates, and how much give there is on each.
• Number of travelers, with the ages of any children.
• The shape from the table above, or the two you are torn between.
• Hotel and cruise standard in plain words, and the room setup: doubles, twins, connecting rooms.
• Private guide and car, or a small group.
• Anything that shapes the pace: a knee that dislikes stairs, a toddler who naps at one, a dislike of early starts, dietary needs.
• Your thinking on Abu Simbel, the hot air balloon and the optional royal tombs, even if it is "not sure".

One sentence about what matters more, the hotel or the guide, the boat or the free time, lets the operator make the trade-offs instead of guessing. Write to two operators at most.

What a proper quote must contain

A quote for an Egypt tour is a document, not a number. Check it against this list first.

1. The itinerary day by day, sites named one by one. "Sightseeing in Luxor" is not an itinerary. "Karnak and Luxor Temple, then Valley of the Kings, Hatshepsut and the Colossi of Memnon" is.
2. Inclusions and exclusions, both written out. The exclusions are where the surprises live.
3. Hotels by name and the boat by name, or a closed shortlist of two or three named boats, never "five star deluxe cruise".
4. The meal plan, counted, and whether drinks on board are in.
5. The guide: private or shared, maximum group size, and whether the same guide travels with you throughout.
6. Transfers, including airport pickups at each end and for every domestic flight.
7. Domestic flights, sectors named, ticketed by the operator.
8. Entrance fees, stating which sites are included and which optional tombs are not.
9. A contact on the ground, with a name, a number and the hours someone answers.

The questions to ask before you say yes

The quote answers what. These questions answer how.

• Is the guide a licensed Egyptologist, and is it the same person in Cairo and on the Nile?
• Is the vehicle ours for the day with the driver waiting, or are we dropped and collected?
• If the named boat changes, who decides the replacement and do we see it before agreeing?
• Who do I call at eleven at night if the domestic flight is delayed, and will that person pick up?
• Which entrance fees are extra? The tombs of Tutankhamun, Nefertari and Seti I are sold separately at the sites.
• Is the Luxor balloon included or optional, and what happens on a morning it is grounded for wind?
• Are tips for the guide, driver and crew included, and is there any shopping stop we can decline?

An operator who answers all of them in one reply, without hedging, is one you can book with.

How the confirmation works

When you are happy with the quote and the answers, you say so in writing, on the same thread. From that moment the operator turns a proposal into bookings, and you check one document carefully.

That document is the booking confirmation. It restates the final itinerary, lists the travelers exactly as their names appear in their passports, names the hotels and the boat, repeats the inclusions and exclusions, and sets out in plain words how and when payment is made. A serious agency puts all of it in one document and does not change it later. Check the names character by character, because they go onto the domestic tickets and the cruise manifest, then reply that the confirmation is correct.

On the money itself, two rules. Pay only through channels that leave a record, and expect a receipt every time. Be wary of anyone who steers you toward a channel that does neither.

What happens after you confirm

A well-run booking follows this sequence, and it decides whether the weeks before your trip are calm or nervous.

1. The cruise cabin is held in your name first, because it is the scarcest thing. Within days you hear the boat, sailing date and cabin category confirmed.
2. Hotels are confirmed in your own name.
3. Domestic flights are ticketed: Cairo to Luxor or Aswan, back to Cairo, and Cairo to Hurghada if the Red Sea is in. You receive the e-ticket numbers and can check them on the airline's site.
4. The guide is assigned, and in the final week you get the guide's own WhatsApp number, so the first conversation happens before you land.
5. The final itinerary arrives with pickup times for every morning, the meeting point at Cairo airport and the on-the-ground number at the top.
6. A small WhatsApp group with you, your guide and the office opens a few days before arrival. Every change during the trip goes through it, in writing.

Keep it on your phone, print one copy, and send it to someone at home.

How far ahead to book, by travel date

The boat is the bottleneck. A Cairo hotel can be found late. A good cabin on a good boat over New Year cannot.

Inside those windows, write anyway. Boats release cabins, hotels release rooms, and a local agency hears about it the same day. When each month is worth it is covered in high and low season in Egypt. Decide your second-choice boat at the same time; it turns a sold-out sailing into a small adjustment.

The documents you handle yourself

Everything inside Egypt is the operator's job. Four things are yours.

Passport

Egypt asks for six months of validity beyond your arrival date, plus a blank page for the stamp. Check the expiry this week; a short passport is the most common reason a trip has to be moved.

Visa

Entry rules depend on your nationality and can change, so the only source that counts is the official Egyptian portal or the consulate. Travel insurance

Not required for entry, strongly recommended, and essential if you dive in the Red Sea or go up in the Luxor balloon, because many policies exclude both unless you ask. The questions to put to your insurer are in travel insurance for Egypt.

Health

Questions about vaccinations or medication belong with a medical professional, raised early. Bring regular medication in its original packaging.

The day you arrive: how the handover works

With a local agency the trip starts inside the terminal. A representative meets you at Cairo airport holding a sign with your name, at the arrivals door or before immigration where the airport allows it. If you are getting the visa on arrival, the representative walks you to the counter, so the first ten minutes in the country are not spent guessing which line to join.

The driver takes you to the hotel, where you confirm the next morning's pickup. Your guide either meets you that evening for a short briefing or is in the lobby the next morning, and the guide's WhatsApp has been on your phone since the week before.

From then on the routine is the same every day: guide and driver in the lobby at the agreed time. When you fly to Luxor or Aswan you are driven to the airport, met on the other side and taken to the boat.

Red flags in other operators' offers

• No hotel names and no boat name. "Five star or similar" means the decision is made after you have paid, and not in your favor.
• An itinerary written in categories. "Full day Luxor tour" instead of the sites, so nothing can be missed and nothing can be claimed.
• Pressure to pay through channels that leave no record, or a demand for the whole trip long in advance from a company you have never dealt with.
• No address in Egypt and no license. A reseller abroad with a website is not a local operator.
• A shared group sold as private, or domestic flights "to be confirmed" and left to you.
• Optional tombs presented as included, or a balloon flight "guaranteed". Neither is in the operator's gift.
• A shopping stop every day. A papyrus shop, a perfume shop and an alabaster factory in one afternoon is a commission schedule with your name on it.
